Mission:

To ensure the integrity of job file data across multiple business systems to support the Leadership Team with scheduling accuracy and achieving job cost spending targets, exceptional communication and documentation, program requirement compliance, equipping the team to reach revenue goals and customer service goals.

Proficiencies:

  • Excellent written and oral communication. 

  • Ability to take large amounts of information and summarize it quicky both in writing and orally on a regular basis. 

  • Track communication and be very responsive across multiple channels without losing any details. 

  • Channels could include in-person meetings, virtual video calls, teams messages, outlook emails, text messages, calls, etc. 

  • High Level of Discretion 

  • Sensitivity and discretion regarding GM communications and information. 

  • Team player among the ALC and all SRG team members, as you will serve not only as the GM liaison at times, but front line for team member inquires, other SRG location communications, and external entities.  

  • Collaborate and communicate well with others, maintaining a positive attitude and trustworthy behavior. 

  • Anticipating Needs 

  • Enable GM to serve SRG Augusta at the top of his game, allowing him to do what only he can do. 

  • The GM executive assistant will strive to anticipate needs and eliminate roadblocks whenever possible.  

  • You know how to stay steps ahead of your leader, clearing his path to keep his focus where it needs to be.  

  • Handle delegated tasks responsibly and keep GM informed of tasks handled on his behalf and crucial information to equip him at all times. 

GM Support: 

  • Support GM through creating meeting agendas, maintaining calendar, email, and all assignments delegated. 

  • Maintain monthly expense report. 

  • Outlook calendar management 

  • ONLY team member with access to GM Calendar. 

  • Ensure Outlook calendar is synced with GM Quarterly Planner and populated accordingly. 

  • Sync “General” calendar for SRG members to have visibility of GM availability. 

  • Schedule meetings and appointments upon request. 

  • Maintain adequate margin for administrative duties of GM. 

  • Assist and hold GM accountable for execution of calendar. 

  • Email management. 

  • Respond and forward emails on behalf of the GM as needed. 

  • Keep inbox clear of emails GM does not need to see. 

  • Handle inquires as appropriate and inform GM of important details. 

  • Create rules and folders for emails not needed in inbox. 

  • Clear junk folder and ensure important emails are moved to inbox as necessary. 

  • Keep GM apprised of important dates, team member needs, and other pertinent information as necessary. 

  • Run data queries for GM memberships and meeting materials. 

  • Respond to customer feedback through touch point calls and google reviews. 

  • Assist with low level customer complaints and Team Member issues. 

  • Assist with personal appointments and travel as needed. 

Office/Facility Management: 

  • Manage phone systems internally, primary contact for calls into the office. Ensure phones are being answered timely and professionally, direct callers to appropriate team members as needed. 

  • Answer Connect messages, ensure that they are handled timely by SRG team members. 

  • Monitor and order office supplies as needed.  

  • Facility maintenance – coordinate with cleaning and supply companies, set up maintenance needs, etc. 

  • Monitor Podium daily for conversations and make management aware of negative comments, untimely responses from SRG TM’s, etc. 

  • Work with SRG Compliance/Licensing team member to ensure all SRG Augusta City/County COI’s, Licenses, Bonds are current. 

  • Manage the yard dumpsters making sure they are changed out timely to maintain unhindered workflow. 

  • Manage office printer maintaining paper, ink, and address book for scan feature. 

Data Management: 

  • Record job related interactions into online file management system. 

  • Maintain multiple data storing systems with GM related information, ensure job information compliance with SRG standards, etc. 

  • Keep track of all information shared across multiple communication platforms and ensure personal process of tracking tasks and responsibilities is inclusive and adequate, i.e. phone messages, emails, teams, planner, loop, etc. 

Team Member Support: 

  • New Team Member On-Boarding tasks.  

  • Team Member Off-Boarding tasks.  

  • Answer questions and direct team members as requested with technology support, requests, and inquiries. 

  • Maintain shared calendar with team member PTO and sick time. 

  • Purchase food for meetings and events to include Make it Fun events, Weekly Huddles, Christmas party, Trade Partner Appreciation Breakfast, etc. 

  • Technology Champion – Working with Support Center for technology acquisition, re-purposing technology equipment to team members, on-boarding/ offboarding tasks related to technology equipment. 

  • Manage On-Boarding Process for Trade Partners including COI updates as needed and keeping GM, Production Manager, and Production TC informed. 

Fleet: 

  • Fleet Vehicle Champion – working with SRG Compliance Manager for updates to vehicle tags. 

  • Manage SRG Logo application on fleet and personal vehicles for field employees. 

  • Manage car wash membership for fleet and personal vehicles. 

Customer Service: 

  • Create warm welcome for customers and guests both over the phone and in-office. 

  • Handle caller inquiries professionally and make all efforts to answer questions or transfer to the correct team member. Set expectations for SRG to call back in reasonable time frame (end of day or next business day) when unable to assist customer. 

  • Execute the Customer Touch Point Call process weekly.
